Feedstock sampling and acceptance specifications for re-refining

How to build a defensible incoming-feed specification covering representative sampling, analytical methods, decision rules, quarantine and supplier performance.

Build the specification around the plant

Each facility must connect incoming-feed limits to its process, permits, equipment safety, intended product quality and the legal management of residues. For every parameter, the specification should define the unit, limit, technical basis, test method and current revision.

Detection and quantification needs, sampling point, frequency, compositing procedure, uncertainty and decision rule should be explicit. Responsible approvers and change control prevent unreviewed drift in the acceptance envelope.

  • Define eligible and excluded sources.
  • State the sampling and analytical method separately.
  • Record the basis for limits and review triggers.

Make representative sampling the primary control

Tank condition, circulation, stratification, free water and sediment affect what a sample represents. Spot, running, all-level and composite approaches should be chosen for the actual load and risk, not used interchangeably by habit.

The record should capture equipment, container preparation, location, depth, time and sampler. Sealed duplicates and chain of custody support dispute resolution. Guard tanks allow results to be reviewed before an uncertain load enters common inventory.

  • Confirm that the selected sampling practice covers the oil type.
  • Document mixing or circulation before sampling.
  • Define retain-sample duration and storage conditions.

Operate a risk-based acceptance workflow

Supplier prequalification can use source descriptions, prior analysis and compliance history, but it cannot bypass testing required by law, permit or identified risk. Every arrival still needs identity and safety checks.

The workflow should define release, conditional acceptance, segregation, rejection and alternative routing. Retest, referee-laboratory and dispute rules should exist before purchase. Generator and transporter scorecards help identify worsening contamination and recurring documentation failures.

  • Quarantine material until mandatory evidence is complete.
  • Trend both analytical and documentation failures.
  • Never present the Waste Treatment BREF as a commercial feedstock specification.
